This Privacy Policy explains how Courtix Padel Limited ("Courtix", "we", "us", "our") collects, uses, stores and protects your personal information when you visit courtixpadel.com (the "Site") or register your interest in our padel leagues.
We are committed to protecting your privacy and handling your data in an open and transparent manner, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Please read this policy carefully. By submitting your information through our Site, you confirm you have read and understood how we use your data as described here.
1. Who We Are
Courtix Padel Limited operates competitive, division-based padel leagues in London, Greater London, Hertfordshire and the surrounding areas.
Courtix Padel Limited is the "data controller" responsible for your personal data. This means we decide how and why your personal information is processed.

2. The Information We Collect
2.1 Information you give us when you register
- Your name
- Your email address
- Your phone number
- Your area or location (e.g. town, postcode or region)
- Your padel skill level
2.2 Information relating to participants aged 16–17
Where a participant is aged 16 or 17, we may also collect:
- The name and contact details of a parent or guardian
- Confirmation of parental or guardian consent to take part
- Separate consent (or refusal) for photography and filming
2.3 Information generated through your use of the Site
- Account details, including your username or display name
- Connection requests and player connections you make with other users through our player search feature
- League information, such as your division, fixtures and results
2.4 Referral programme information
If you take part in our referral programme, we process:
- Your referral code and the referrals linked to it
- Records of qualifying referrals and rewards issued to you
2.5 Technical information
We may automatically collect limited technical information when you use our Site, such as your IP address, browser type, device information and how you interact with the Site, through cookies and similar technologies. See our Cookie Policy for detail.
We do not intentionally collect any special category data (such as health, ethnicity or political opinions), and we ask that you do not send us this type of information.
3. How We Use Your Information, and Our Legal Basis
Under UK GDPR we must have a lawful basis for processing your personal data. We use your information for the following purposes:

Where our lawful basis is consent, you have the right to withdraw that consent at any time (see Section 9). Where our lawful basis is legitimate interests, we have considered your rights and interests and believe our processing does not override them; you may object to this processing at any time.
We will not use automated decision-making that produces legal or similarly significant effects about you.
4. Information Visible to Other Players
4.1 Our Site allows registered players to search for one another by username or email address and send a connection request.
4.2 When another user searches for you, we will confirm whether an account exists and display limited profile information only (such as your username or display name). We do not reveal your email address, phone number or other contact details to other users.
4.3 There is no messaging function on the Site. Players cannot send messages to one another. Any registered player can send a connection request to any other registered player, which you are free to accept or decline.
4.4 Your name may appear in league tables, fixtures and results visible to other players in your league.
4.5 You can ask us at any time to block a user, remove a connection, or restrict your visibility to other users.
5. How We Store and Protect Your Data
Your personal information is stored securely using Google Firebase, a cloud database, hosting and authentication platform provided by Google. Firebase provides industry-standard security measures including encryption in transit and at rest.
We take appropriate technical and organisational measures to protect your personal data against unauthorised or unlawful processing, accidental loss, destruction or damage. Access to your data is restricted to the founders of Courtix and the service providers described in this policy.
While we take all reasonable steps to protect your information, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
6. Sharing Your Data and Third-Party Providers
We do not sell your personal data to anyone.
We share your data only with trusted third-party service providers who help us operate our Site and communicate with you. These providers act as our "data processors" and may only use your data on our instructions. They are:
- Google Firebase — for secure storage, hosting, and authentication (account login and security) of registration and account data.
- Resend — an email delivery service we use to send you emails, updates and communications.
- Sponsors and partners — where you earn a reward through our referral programme, we purchase a voucher code from the relevant partner and send it to you by email. We do not share your personal details with that partner in order to do so, unless we tell you otherwise at the time.
- Payment providers — where you pay a league entry fee, your payment is handled by a third-party payment provider. We do not store your full card details. Any payment provider we use will process your data in line with their own privacy policy and applicable card industry standards.
- Venues — we may share limited information (such as names and fixture times) with venues where necessary to run your league.
We may also disclose your information if required to do so by law, by a regulator, or to protect our legal rights.
If Courtix is involved in a merger, acquisition or sale of assets in the future, your data may be transferred as part of that transaction. We will notify you before your data becomes subject to a different privacy policy.
7. International Data Transfers
Some of our service providers (including Google Firebase and Resend) may store or process your data on servers located outside the United Kingdom, including in the United States.
Where your data is transferred outside the UK, we ensure an appropriate level of protection is in place, such as the UK International Data Transfer Agreement, the International Data Transfer Addendum to the EU Standard Contractual Clauses, or transfers to countries deemed 'adequate' by the UK government.
8. How Long We Keep Your Data
We keep your personal data only for as long as necessary for the purposes set out in this policy.
If you register your interest but do not go on to take part, we will keep your data for up to 24 months from your last interaction with us, after which it will be deleted, unless you ask us to remove it sooner.
If you become an active participant, we will keep your data for the duration of your involvement and for a reasonable period afterwards to meet legal, accounting and administrative requirements.
Referral programme records are kept for as long as needed to administer the programme and for a reasonable period afterwards in case of queries.
You can ask us to delete your data at any time (see Section 9).
9. Your Rights
Under UK GDPR, you have the following rights over your personal data:
- The right to be informed — about how we use your data (this policy).
- The right of access — to request a copy of the data we hold about you.
- The right to rectification — to have inaccurate data corrected.
- The right to erasure — to ask us to delete your data ("the right to be forgotten").
- The right to restrict processing — to limit how we use your data.
- The right to data portability — to receive your data in a portable format.
- The right to object — to processing based on legitimate interests or direct marketing.
- Rights relating to automated decision-making — we do not carry out such processing.

You will not usually have to pay a fee, and we will not discriminate against you for exercising your rights.
10. Marketing Communications
If you have consented to receive marketing from us, we will send you emails about Courtix leagues, news and offers via our email provider, Resend.
You can opt out at any time by clicking the "unsubscribe" link in any marketing email, or by emailing us at info@courtixpadel.com. Opting out of marketing will not affect emails we need to send you about a league you have signed up for, or a reward you have earned.
11. Cookies
Our Site uses cookies and similar technologies to help it function and to keep your account secure. Full details are set out in our separate Cookie Policy.
12. Participants Aged 16 and 17
12.1 Our leagues are open to players aged 16 and over. We do not knowingly collect personal data from anyone under 16. If you believe a child under 16 has provided us with personal data, please contact us and we will delete it.
12.2 We run a separate league for players aged 16–17, kept apart from our adult leagues.
12.3 Where a player is aged 16 or 17, before their place is confirmed we require:
- The consent of a parent or guardian;
- A parent or guardian's name and contact details; and
- Separate written consent from a parent or guardian if the player is to be photographed or filmed (see 12.5).
12.4 Player connections. Our player search and connection feature is open to all registered players, but includes no messaging function — players cannot send messages to one another through the Site. Players aged 16–17 can accept or decline any connection request, and can ask us to block a user or restrict their visibility at any time. Any concerns should be reported to us immediately at info@courtixpadel.com.
12.5 Photography and filming. Matches may be photographed or filmed for promotion, social media and online video content, including by our partners. We will not photograph, film or publish images or footage of a player aged 16 or 17 without specific written consent from their parent or guardian. This consent is separate from consent to take part and can be withdrawn at any time by emailing us.
12.6 A parent or guardian may exercise any of the rights in Section 9 on the player's behalf.
12.7 If you are a parent or guardian and have any concerns about how we handle your child's data, or wish to withdraw any consent, please contact us at info@courtixpadel.com.
13. Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date. We encourage you to review this policy periodically.
